Introduction

Document Manager is the central workspace of Content AI, where all knowledge sources are collected, structured, and maintained to feed Smart Assistant’s intelligence.

Document Manager is the operational core of Content AI , providing full control over how information is added, structured, and delivered to Smart Assistant. It allows your teams to manage the assistant’s entire knowledge base — including documents, URLs, and imported sources — through a single, unified interface.

With Document Manager, you can add new content, edit or update existing information, organize it into categories, and publish it instantly to your assistant’s knowledge engine. Every change you make contributes directly to the assistant’s understanding, accuracy, and ability to respond naturally to user questions.

The role of Document Manager

Document Manager serves as both a knowledge hub and a control center. It ensures that every piece of content used by Smart Assistant is correctly formatted, categorized, and accessible for real-time interaction.

Through an intuitive interface, users can:

  • Upload or import new documents and URLs
  • Edit existing knowledge sources
  • Organize content using Categories and Topics
  • Manage publication and version control
  • Monitor content readiness and AI learning status

This makes Document Manager essential not only for initial setup but for continuous improvement of your Smart Assistant’s knowledge base.

How it works

When you add a document or URL, Content AI automatically analyzes it using semantic indexing and knowledge modeling. It identifies key entities, topics, and relationships, then converts the text into Knowledge Objects that the assistant can use in real time.

You can review these knowledge structures, edit metadata, and preview how the content will be interpreted before publishing.

Once published, Smart Assistant immediately incorporates the updated information into its responses, ensuring that users always receive the latest and most accurate data.

Main functionalities

Add a document

You can upload files (PDF, DOCX, TXT, etc.) or provide URLs as new content sources. During upload, assign them to categories or topics to help Content AI classify the information correctly. Once processed, the system automatically extracts key concepts and indexes them into the knowledge model.

View or edit a document

You can access any existing document to review, correct, or enhance its content. Editing a document reprocesses it through Content AI, ensuring that every update is semantically analyzed and reflected in the assistant’s responses.

Delete a document

Removing a document helps keep the knowledge base clean and relevant. Once deleted, the content is automatically removed from Smart Assistant’s active sources, ensuring no outdated information is used.

Import documents

Bulk import functionality lets you migrate multiple files or external repositories at once. This is ideal for bringing in existing documentation, such as FAQ archives, product catalogs, or policy manuals, without re-uploading each file manually.

Publication system

Before a document becomes available to Smart Assistant, it must be published. The publication system handles:

  • Validation of document readiness
  • Version control to track changes
  • Instant synchronization with Smart Assistant once published

Unpublished items remain as drafts until approved and released.

Categories

Categories group related documents and URLs under logical structures. They form part of the assistant’s Knowledge Model , improving navigation and allowing AI to identify content relationships more effectively. A good category hierarchy simplifies content discovery and maintenance.
